Running Village Setup Crew

Role Summary:
Be part of the behind-the-scenes magic that brings our Fun Run village to life! As a Running Village Setup Crew member, you’ll help transform the event area into a vibrant, welcoming space. From assembling registration stalls to helping vendors get settled, you’ll be the foundation of a fantastic event experience.

Key Responsibilities:

• Set up registration stalls, merchandise booths, and the DJ/stage area

• Assist vendors in locating and setting up their designated spaces along the track

• Help place banners, signage, and decorations around the event area

• Support the RunThrough team with any on-the-ground setup tasks

• Ensure the village layout is tidy, organized, and event-ready

Registration Team Member

Role Summary:
Be the friendly face that kicks off every runner’s Fun Run experience! As part of the Registration Team, you’ll help check in participants using the RaceTec Toolkit app, assign race numbers, and hand out tracking devices. You’ll be at the heart of the action, helping runners feel prepped and pumped to hit the track.

Key Responsibilities:

• Use the RaceTec Toolkit app (download required – login details will be provided)

• Search for runners by name and confirm their registration

• Enter the race number given to each runner into the app

• Distribute the correct race number bib and tracking device

• Maintain an organized and efficient registration flow

• Work alongside a RunThrough team member who’ll be available for support and troubleshooting

Role Summary:
Help our runners race worry-free by keeping their belongings safe! As a Bag Drop & Pick-Up Tent volunteer, you'll be stationed at the tent where participants leave and collect their personal items. This is a relaxed and easy role—perfect for two friends to team up and help out together.

Key Responsibilities:

• Welcome runners dropping off their bags before the race

• Keep a watchful eye on the tent and belongings at all times

• Help runners retrieve their bags after the run

• Maintain a calm and secure environment in the tent area.

Bag Drop & Pick-Up Tent Attendant

Merchandise Table Crew

Role Summary:
Help us spread the Coleridge Families spirit—one t-shirt, hoodie or water bottle at a time! As part of the Merchandise Table Crew, you’ll help sell official Coleridge Families gear to runners, families, and supporters. It’s a great way to meet people and keep the event buzzing with school pride!

Key Responsibilities:

• Use the Zettle app (to be downloaded on your phone—login details will be provided) to manage sales

• Handle cashless payments and assist customers with purchases

• Keep the stall organized and tidy throughout your shift

• Help customers find the right sizes and items (everything will be pre-set and labeled for you)

• Restock items if needed and report low stock to the event coordinator

Role Summary:
Be the smile waiting at the finish line! As part of the Finish Line Crew, you'll welcome runners as they complete their race by handing out medals and water bags. It’s a simple but incredibly meaningful role—your high-five might be the moment they remember most!

Key Responsibilities:

• Hand out medals to runners as they cross the finish line

• Distribute water bags to help runners rehydrate

• Offer congratulations and support—cheers and smiles encouraged!

• Keep the finish area tidy and stocked with supplies

Finish Line Crew – Medals & Water

Role Summary:
Love being outdoors and cheering people on? This role is for you! As a Field Marshal, you’ll be stationed along the race route to help guide runners in the right direction and keep the energy high. You’re the friendly face that keeps them motivated and on track—literally!

Key Responsibilities:

• Stand at key points along the course to direct runners and ensure they stay on the correct path

• Provide encouragement and high-fives to boost runner morale

• Communicate with event staff if any issues arise on the course

• Help keep spectators off the running path for safety

Field Marshal

Role Summary:
Help us end the day on a high note! As part of the Clean-Up Crew, you’ll assist with packing down tents, merchandise, and all Coleridge Families items after the fun run. Your help ensures we leave the event area spotless and as beautiful as we found it—because we believe in finishing strong!

Key Responsibilities:

• Dismantle and pack up Coleridge Families tents, tables, and merchandise displays

• Assist with collecting signage, banners, and event equipment

• Help remove any litter and tidy up the event space

• Work alongside other volunteers and the event team to ensure everything is accounted for

Clean-Up Crew

PHOTOGRAPHERS

Role Summary:
Capture the magic of the day! As a volunteer event photographer, you’ll be out and about during the Fun Run snapping photos of runners, volunteers, families, and all the unforgettable moments. Whether you’ve got a DSLR or a great phone camera, your eye for storytelling will help us preserve the spirit of the event for years to come.

Key Responsibilities:

• Take high-quality photos throughout the day, including:

  • Start and finish line action

  • Runners in motion

  • Volunteers in action

  • Candid moments in the village and along the route
